What is EA Form?
EA Form is a Yearly Remuneration Statement that includes the employee's salary and statutory contributions for the past year. Bear in mind that the EA Form should reflect only remuneration, which includes BIK and VOLA that was actually paid or provided to the employee.
When should the EA Form be rendered by the employer?
The EA forms must be rendered by the employer by the last day of February.
Step by step to generate EA Forms
Below are the steps to generate, release and download the EA Forms. Employees only can view/download their EA Forms once HR has released them.
Step 1: Ensure payroll items are set correctly in EA Forms
Step 2: Select the year and employees & generate EA Forms
Step 3: Download EA Forms and verify details & amount
Step 4: Release EA Forms
Step 5: Employee downloads EA Forms
Step 1: Ensure payroll items are set correctly in EA Forms
- To create/update custom payroll items, you can locate them under Settings > Payroll > Payroll Items Settings.
- After filling in the name, category, and statutory, assign an appropriate EA Form Field to the item. For more details, please refer to KB: How to set payroll items correctly in the year end forms (E/EA Form)?
Step 2: Select the year and employees & generate EA Forms
i) Menu Payroll > Payroll Forms > Tab "EA Form"
ii) Select year of the EA Form
iii) Select employees
iv) Click Generate EA Forms
Step 3: Download EA Forms and verify details & amount
i) Select employees > Click Download for Selected Employee > A zip file downloaded
ii) Unzipped the EA Form folder. Open EA Form in pdf.
iii) Verify the employee details, EA fields and their amounts, and statutory contribution paid.
Step 4: Release EA Forms
After making sure the Form details are correct, you may consider releasing the EA Forms to the respective employees.
Note:
- You must release the EA Forms to complete the process. Otherwise, the employees can't view or download it from their profiles.
- After releasing EA Forms, the respective payroll year will be closed. No further modification like regenerating EA Forms, or close/add payroll cycles for the respective year.
i) Select employees > Click Release EA Forms
ii) Confirm to release of EA Forms.
iii) After releasing EA Forms, the label "Released" will be shown next to the employee.
iiv)(Optional) You can download the EA Forms for future reference.
Step 5: Employee downloads EA Forms
After releasing the EA Forms, the employee may access his EA Forms from his profile.
i) Click on the avatar > Click Profile > Tab "Payroll" > Forms > Select Year
ii) The EA Forms will be shown. You may download it.
